Transcription MachinesA transcription machine, or transcriber, is similar to an old-fashioned tape recorder and is very simple to use. The difference is that it includes a headset and foot pedal. The headset is important for clarity of listening. In addition to blocking outside noises, it helps to keep confidentiality. The foot pedal is also important because it allows the transcriptionist to start, stop, and rewind the tapes while keeping both hands on the keyboard. There is no specialized training necessary to use a transcription machine. Doctors generally dictate on micro tapes or regular cassette tapes. A few physicians use "mini" tapes, so eventually two machines may be needed. A mini tape is similar to a micro tape, but shaped slightly different. Unfortunately, there is not an efficient "three-in-one" machine. Most doctors do use micro tapes, so it is often advisable to purchase a machine that uses them. For our program, the dictation is on standard size tapes, since they are generally more durable. Most of them are two hours long. A tape recorder is all that is needed for practicing; a machine can be purchased later. Some of the larger medical transcription services offer "call-in" systems. Physicians can dial a number and dictate over the phone, directly into a recording system at the transcription service. These systems are often digital with many incoming lines. Some systems allow the transcriptionists to access from their home, take the dictation off the call-in system, and then return it by modem to the service's main office. These types of systems are costly and most doctors still prefer using tapes. It is our opinion that used or reconditioned transcription machines are most cost effective. When we purchase transcription machines in our office, we prefer to buy used machines through local newspaper ads, office supply stores; even attorneys' offices may be willing to sell any unused machines. A new transcription machine is usually $200-$250. A used or reconditioned machine averages about $100, complete with a headset and foot pedal.
